Senior/Admin Associate (Supply Planning & Operations)

JOB PURPOSE

The Supply Planning & Operations (Senior) Associate is responsible for ensuring that order compilation, placement, tracking, and delivery of assigned Merchandise and Non-Merchandise categories. The Associate is required to liaise with suppliers and various internal stakeholders from time to time to ensure that all necessary documentations are in place and ensure that pending orders are worked on. From time to time, the Associate will also need to support administrative tasks for the Business Unit as assigned by the Supervisor/Management.

RESPONSIBILITIES:

Order & Delivery Management

  • Create order sheets and send sheets out to designated recipients
  • Compile and upload global orders for assigned Merchandise/Non-Merchandise categories
  • Manage logistics picklists and GR in the system in a timely and accurate manner
  • Follow up with markets for timely order submissions

System & Masterfile Management

  • Manage product master files and create item details for assigned categories
  • Push master files to other 3rd party systems in a timely and accurate manner

Reporting & Other Administrative Matters

  • Compile weekly reports such as Weekly Huddle, Best Seller, SOH, and Stock Management Reports
  • Manage write-off and defect claims for assigned categories
  • Submit and manage finance claims in Concur
  • Prepare samples/parcels for courier and liaise with delivery vendors/recipients
  • Product picture naming and compilation
  • Complete other ad-hoc and administrative duties assigned by the Supervisor or Management

KNOWLEDGE AND SKILLS:

  • Diploma in business administration or related field, or equivalent work experience
  • At least 1-2 years of working experience, preferably in Fashion/Retail industry
  • Proficient in M365 Suite, especially Excel and PowerPoint. Knowledge of SAP is a bonus
  • Excellent time-management and problem-solving skills with great attention to detail
  • Concise and articulate in written and spoken communication
  • Team player with a pleasant disposition and excellent interpersonal skills
